Chinese New Year falls on Saturday, 6 February 2027. Ramadan is expected to begin on Monday, 8 February, two days later. Schools in most states are closed from 5 to 14 February. If your agency sells both CNY tours and Ramadan Umrah, your two busiest weeks of the year arrive together.
Now picture the team in that week. The supplier confirmation is in a consultant’s personal Gmail. The bank slip is somewhere in a WhatsApp chat. The website still shows last year’s package price, and the owner is the only person who knows which version is right.
The agencies that do well in Q1 2027 will be the ones that fix their workflow in October to December, before the rush. This six-part guide shows Malaysian travel agency owners what to fix first, how to check it is really fixed, and where a connected system saves time.
Meet Sutra Travel Sdn Bhd, our example agency
To keep the numbers consistent, every part of this series follows one example agency. Sutra Travel is fictional, but it will look familiar.
| Detail | Sutra Travel Sdn Bhd |
|---|---|
| Location | A ground-floor shoplot in Shah Alam |
| Team | Owner, 3 sales consultants, 1 operations, 1 accounts, 1 part-time admin |
| Volume | About 40 confirmed bookings a month |
| Main products | Ramadan Umrah groups, Chinese New Year tours to Korea and Japan, corporate trips |
| How they work today | WhatsApp on personal phones, bookings in Excel, quotations in Word, deposits checked against bank slip photos, everyone on personal Gmail |
The owner wants 120 new confirmed bookings in Q1 2027 without hiring more staff. Each part of the series takes one step towards that.
What makes Q1 2027 different?
Q1 is never quiet for a Malaysian agency. In 2027, several peaks fall close together.
| Event | 2027 dates | What it means for your agency |
|---|---|---|
| Year-end school holidays | 5 to 31 December 2026 (from 4 December in Kedah, Kelantan and Terengganu). Schools reopen on 4 January 2027 | Family tours are booked in October and November, and departures overlap your year-end closing |
| Thaipusam | Friday, 22 January 2027, a holiday in Selangor, Kuala Lumpur and several other states | A long weekend for domestic trips and short-haul tours |
| Chinese New Year | Saturday and Sunday, 6 and 7 February 2027. With extra Ministry of Education holidays, schools in most states are closed from 5 to 14 February | Peak family travel. Airfares and hotel rates peak, and supplier deposits are due months earlier |
| Ramadan begins | Monday, 8 February 2027, subject to moon sighting | Ramadan Umrah demand peaks. Airline seat blocks and Saudi hotel deposits are paid well before departure |
| Hari Raya Aidilfitri | Wednesday and Thursday, 10 and 11 March 2027, subject to moon sighting. Schools are on term break from 6 to 14 March (5 to 13 March in Kedah, Kelantan and Terengganu) | Staff go balik kampung, and families travel during the school break while your office is short-handed |
| MATTA Fair | The national fair in Kuala Lumpur is usually held in April and September (3 to 5 April and 4 to 6 September in 2026). 2027 dates are not announced yet | Use March to prepare packages, prices, and a follow-up plan, because one fair weekend can bring hundreds of leads |
School holidays for 2027
Families plan around school holidays, and many book their mid-year and year-end trips during Q1. Use these dates when you set departure dates and campaign timing.
| School holiday | Group A: Kedah, Kelantan, Terengganu | Group B: all other states and federal territories |
|---|---|---|
| Year-end holiday 2026 | 4 to 31 December 2026 | 5 to 31 December 2026 |
| School year 2027 starts | 4 January 2027 | 4 January 2027 |
| Chinese New Year extra holidays | Kedah: 9 to 11 February. Kelantan and Terengganu: 8 to 11 February | 5 February, and 9 to 12 February |
| Term 1 break (includes Hari Raya Aidilfitri) | 5 to 13 March, plus 14 March for Hari Raya | 6 to 14 March |
| Hari Raya Haji and Wesak extra holidays | 16 May, 18 May (Kedah only), and 19 May | 18, 19, and 21 May |
| Mid-year holiday | 21 May to 5 June | 22 May to 6 June |
| Term 2 break | 27 August to 4 September | 28 August to 5 September |
| Deepavali extra holidays | 27 October | 27 and 29 October (Sarawak: 28 October) |
| Year-end holiday 2027 | 3 to 31 December 2027 | 4 to 31 December 2027 |
With weekends and public holidays included, schools in Group B are closed from 5 to 14 February for Chinese New Year, and from 15 May to 6 June around Hari Raya Haji, Wesak, and the mid-year holiday. Those are the longest family travel windows of the first half of 2027.
Public holiday dates are from the Prime Minister’s Department 2027 public holiday list, and school dates are from the Ministry of Education 2026 and 2027 academic calendars, all checked on 12 October 2026. Ramadan and Hari Raya dates are marked subject to change until the official moon sighting. Confirm MATTA Fair 2027 dates with MATTA once they are published, as some state MATTA fairs are held earlier, in March.
The pattern matters more than the exact day. Supplier money goes out in November and December. Customer balances come in January and February. Your staff take leave in March. Every gap in your workflow gets bigger when those three things overlap.
What is the old way costing you?
Most agencies do not lose money on one big mistake. They lose it on small repeated work that nobody counts. Here is a normal week at Sutra Travel.
| Task | The old way | A connected workflow |
|---|---|---|
| A passenger’s name and passport details | Typed into WhatsApp, Excel, the quotation, the supplier email, the invoice, and MyInvois. Six chances to make a typo | Entered once on the booking and carried forward to the invoice, passenger list, and supplier work |
| “Customer dah bayar belum?” | Scroll through WhatsApp for the bank slip, then ask accounts to check the bank | The booking shows what is paid, what is due, and when |
| A consultant resigns | Their WhatsApp chats and Gmail leave with them | Leads, quotations, and bookings stay with the agency |
| The package price changes | Poster, website, and staff all quote different numbers for a week | One approved price that sales and the website both use |
| “Which CNY departures are not full yet?” | Someone opens three spreadsheets and counts | A departure list with seats sold and balances due |
| e-Invoice | Accounts retypes every invoice into MyInvois | The invoice is submitted from the same record once your MyInvois account is connected |
Try this today. Take one booking from last week and count two things: how many times someone typed the customer’s name, and how many minutes staff spent looking for information that already existed somewhere. Multiply by 40 bookings a month. That number is what you are paying for the old way.
WauHub connects leads, bookings and passengers, invoices and payments, supplier expenses, and accounting in one place. You do not have to change everything at once, but you should know which gap is costing you the most.
What your agency needs before Q1
Each foundation solves a different business problem. You do not need to buy everything at once. Start with the gap that is hurting you most.
| Foundation | Why the owner needs it | How you know it works |
|---|---|---|
| Company email and account ownership | Business conversations stay with the agency when staff leave or phones are lost | A backup admin can recover access and continue a supplier conversation |
| Clear packages and pricing | Sales knows what to promise without guessing away the margin | Two consultants quote the same price and inclusions |
| Departure and cash planning | A profitable trip can still need cash before customer balances arrive | Supplier deadlines and customer collection dates are in one forecast |
| Connected booking records | Every handover carries the customer’s agreed details forward | Operations and accounts can continue a booking without asking sales |
| A useful website or package page | Customers need a current place to see the offer and enquire | A mobile enquiry reaches the right person with the package details |
| Tested automation | Repeated work goes faster without sending wrong information faster | When something fails, a person sees it and takes over |
| A realistic sales plan | The team knows how many enquiries to generate and who follows up | Monthly targets, budget, and weekly actions fit departure capacity |
Read the series by the decision you need to make
| Part | Owner’s question | What you will have at the end |
|---|---|---|
| 1. This guide | What must we fix first? | A short list of fixes with owners and dates |
| 2. Company email | How do we move off personal Gmail and WhatsApp? | Agency-owned email, numbers, and a migration checklist |
| 3. Tour pricing and departures | Which tours deserve our money, and at what price? | Costed packages and decision dates before supplier penalties |
| 4. Cash flow and e-Invoice | Can we fund the trips we have sold? | A 13-week cash forecast and finance checklist |
| 5. Booking workflow test | Can the team deliver what the customer buys? | An end-to-end test with pass and fail checks |
| 6. Q1 sales plan | How many bookings do we need, and where will they come from? | Sales targets, a marketing budget, and weekly actions |
Our earlier basic software guide explains the main tools an agency may need. This series is the next step: decide, assign, and check that it is done.

Set your Q1 targets first
“We want to grow next year” does not tell your team which packages to prepare or how many enquiries they need. Write a one-page plan for January to March 2027.
| Owner’s decision | What to write down |
|---|---|
| Main customers | For example, Umrah groups, CNY family travellers, or corporate groups |
| Main products | The packages you will actively sell this quarter |
| Sales target | Confirmed bookings, paying passengers, and booking value, each counted separately |
| Profit target | What each departure must leave after direct costs, then profit after office overheads |
| Collection target | Customer payments due and expected each month |
| Capacity limit | How many departures and active files the team can handle properly |
| Cash floor | The lowest bank balance you are willing to plan for |
| Quality target | For example, no departure leaves with missing passport details |
Sutra Travel wants 120 new confirmed bookings in Q1, about 40 a month. In its records, roughly 1 in 4 qualified enquiries becomes a booking. So the team needs about 480 qualified enquiries in the quarter, or 160 a month.
A qualified enquiry is a real buyer with a travel need and a rough travel date, not a “how much?” comment on Facebook. If three consultants cannot handle 160 proper enquiries a month on top of current customers, fix the follow-up process before spending more on ads. Part 6 works through this in detail.
Keep two calendars apart. A December booking for a February departure is a Q4 sale but a Q1 trip. Track new bookings made in Q1 separately from passengers travelling in Q1, and forecast cash by the dates money actually moves.
Score your agency honestly
Give each area a score: 0 means missing, 1 means it depends on one person or breaks often, 2 means it works and someone has checked it.
| Area | Question for the owner |
|---|---|
| Account ownership | Can the agency recover its domain, email, WhatsApp Business numbers, and social accounts? |
| Packages | Can staff find one approved description, price, and set of terms? |
| Departures | Can we see supplier deadlines before penalties start? |
| Cash | Do we know our lowest bank balance before customer balances arrive? |
| Finance | Can trained staff issue invoices, record payments, and handle e-Invoice? |
| Enquiries | Does every enquiry reach a named person with the package details? |
| Team cover | Can a colleague continue an active booking when its owner is on leave? |
A good total does not cancel out a zero. A zero for cash or account ownership needs attention even if your website looks excellent.
For each weak area, write one action, one person, one deadline, and what you will check. “Improve operations” cannot be checked. “Operations can find the hotel confirmation and rooming list for every CNY departure” can.
Your October to March plan
If you are reading this in October, you still have time. Work backwards from your first departure and fix what threatens customer commitments and cash first.
| When | Focus | What the owner should see |
|---|---|---|
| October, weeks 1 and 2 | List Q1 commitments, supplier deadlines, cash gaps, and who controls each business account | A risk list with names and decision dates |
| October, weeks 3 and 4 | Secure company email and WhatsApp numbers. Approve core packages and prices | Working company accounts and one approved price list |
| November | Fix the enquiry-to-booking handover. Test one complete booking. Train a backup for each role | A booking that moves from sales to accounts without anyone retyping it |
| December | Recheck CNY and Umrah documents, supplier payments, cash, and holiday cover | A signed readiness list for January departures |
| January to March 2027 | Weekly 30-minute review of cash, bookings, and departures. Fix one bottleneck at a time | Decisions with names and dates, not just reports |
Do not switch everything off on 1 January. Run a new process on a few bookings first, and keep the old one until the new one is proven.
Questions about preparing a travel agency for Q1 2027
Is October too late to prepare?
No. October to December is enough time to fix account ownership, cash planning, and one dependable booking workflow. It is probably not enough time to replace every system while you are also running year-end departures, so pick the gaps that matter most.
Do we need a full website first?
No. You need one current page where customers can see the package, the price, and how to enquire. A simple package page is fine to start. Part 5 shows how to test whether it works.
What if we have no company email or proper software yet?
Start by finding out who controls your current accounts and where active customer records live. Then follow Part 2 to set up agency-owned email. Once that is working, you can contact us from it. Your team can still be running on WhatsApp and Excel. That is exactly the situation we help with.
Start with a consultation, even if you have no booking system yet
You do not need a software specification. Show us how your agency receives enquiries, shares packages, collects deposits, and hands bookings to operations today.
We will help you decide what to fix first, including company email and a website. Where WauHub fits, we will show you the connected booking, payment, supplier, and accounting workflow using an example like yours.
