Why Your Travel Agency Needs Company Email, and How to Move From Gmail

Prepare Your Travel Agency for Q1 2027 · Part 2 of 6

••Updated

Your accounts staff needs a hotel confirmation, but the consultant who received it has left. The message went to that person’s Gmail account. The booking belongs to your agency; access to the conversation does not.

Company domain email gives a travel agency control over its business correspondence and staff access. An address such as sales@youragency.com.my also gives customers and suppliers a consistent business contact. The benefit depends on proper administration, shared access arrangements, and a working recovery plan.

This guide walks Malaysian travel agency owners through the move from personal Gmail to company email, and from staff-owned WhatsApp numbers to agency-owned ones. You can use it even if you have no domain or website yet.

In Part 1 we introduced Sutra Travel Sdn Bhd, our fictional seven-person agency in Shah Alam. All seven staff use personal Gmail, and each consultant sells from their own WhatsApp number. This is the first thing the owner fixes, because every other part of the series depends on the agency owning its own conversations.

Why does a travel agency need company email?

The value becomes obvious when something changes: a staff member resigns, a phone breaks, a supplier disputes an instruction, or a customer needs help while their consultant is away.

If business mail lives inside individual personal accounts, the agency may have to ask the account owner to forward or retrieve it. If five staff share one Gmail password, you cannot give each person independent access or remove one person’s access cleanly without changing the shared arrangement.

Everyday situation Why it matters to the business What a managed setup should provide
Consultant leaves Open quotations and supplier discussions must continue Transfer or delegated access under the agency’s process
Accounts person takes leave Bills still arrive and deadlines still apply A monitored accounts address with an authorised backup
Customer receives several addresses They need to know which contact belongs to the agency Consistent addresses under your domain
Website supplier disappears Domain renewal and mail access must continue Company-held administration and recovery details
Phone is lost Business correspondence must remain recoverable A tested recovery process independent of that phone

A company address alone does not prove that a business is trustworthy or prevent every scam. Its practical value comes from the agency owning the system behind the address.

Why do B2B partners judge you by your email and website?

Customers are not the only ones who check. Suppliers, wholesalers, airlines, hotels, payment providers, corporate clients, and tourism boards all decide how far to trust your agency. Before giving you rates, credit, an account, or an invitation, they look you up.

An agency with no website and a Gmail address is hard to find and hard to verify. From the outside, it can look the same as a freelancer working from home. Partners then give the better terms to an agency that looks established.

B2B partner What they decide What they look for
Wholesalers and DMCs Agent account, net rates, and credit terms Company name, KPL licence, website, and a company email on the application
Hotels, airlines, and consolidators Group allotments, group fares, and B2B portal access Registered business details and a work email for the portal login
Payment providers A merchant account for FPX and card payments A website showing your business, packages, and terms
Corporate clients Approved vendor status for staff trips and incentives Company email, website, and SSM details for their vendor registration
Tourism boards and trade organisers Invitations to workshops, roadshows, and familiarisation (fam) trips An agency they can find online, with a contact that will not disappear

Sutra Travel sells Korea tours every Chinese New Year. Last year, a hotel supplier mentioned a Korea tourism workshop in Kuala Lumpur, with a fam trip for selected agents. Several agencies from around Shah Alam attended. Sutra Travel was not on the list, because the organiser could not find a website and the only contact on file was a former consultant’s Gmail address. The same month, a corporate client’s procurement team asked Sutra Travel to resubmit its vendor form from a company email address.

Neither problem was about price or service. Sutra Travel simply did not look like an established business to people who had never visited the office.

Fixing this does not cost much. A domain, company email, and a simple website showing your company name, KPL licence number, office address, and the destinations you sell are enough to pass when a partner checks. Then send your new company address to your suppliers, wholesalers, tourism boards, and corporate clients, and ask them to update their records. WauHub’s travel agency website gives registered agencies a page for exactly this, with your packages and enquiry details in one place.

Our basic travel agency software guide introduced domain email as a foundation. Here, the job is to implement it without losing enquiries.

A travel agency owner meets a hotel sales manager at a café as she hands him her business card

Understand what you are buying

These are separate services, even when one supplier sells them together.

Item Plain explanation What the agency must control
Domain Your online name, such as youragency.com.my Registration account, renewal, and recovery access
Business email Mailboxes using that name Administration, staff accounts, and billing
Website The pages customers visit Content, hosting or platform access, and enquiry destination
Booking software The records used to handle sales and operations Users, permissions, data, and export arrangements
WhatsApp Business numbers The numbers customers message you on A company-registered SIM and the phone or service it runs on
Social accounts Facebook, Instagram, and other channels Business ownership and administrator access

Register the domain under the agency’s control with correct business details. A .com.my domain needs your company’s SSM registration details, which also shows customers the address belongs to a Malaysian business. A supplier can manage it for you, but the owner should have access and a documented recovery route.

Record the renewal date and turn on renewal reminders. Avoid a recovery setup that depends entirely on the same domain remaining available. Keep a protected alternative recovery method under company control.

You can keep using Gmail with a company address

Moving to business email does not necessarily mean changing the interface your team knows. Google Workspace supports custom-domain email through Gmail. Microsoft 365 also supports custom-domain email, which may suit a team already working in Outlook. Compare administration, mailbox needs, support, and the total subscription cost. See Google’s business email overview and Microsoft’s domain setup guide.

Buying a domain alone does not create working mailboxes. Ask the provider to quote for the complete setup, including migration, account security, and testing.

Give people their own accounts and departments a stable address

Use named accounts for individual staff and role addresses for work that must continue when staff change. The addresses below are examples, not a requirement to buy a separate paid mailbox for every function.

Address Job Ownership rule
name@youragency.com.my Individual staff correspondence Each person has their own login
sales@youragency.com.my New enquiries and quotations Named people cover the inbox and hand over open enquiries
accounts@youragency.com.my Customer billing and supplier documents Finance owns processing, with a trained backup
operations@youragency.com.my Passenger details and supplier confirmations Operations reviews outstanding items daily
management@youragency.com.my Business administration Access limited to authorised management

A forwarding alias is an extra address that routes mail elsewhere. A shared inbox or delegated mailbox lets authorised people handle a common queue. Ask the provider which arrangement fits each job and what licensing it requires.

Do not make five employees share one password. Use the provider’s supported access controls, enable multi-factor authentication, and document how to remove a departing employee’s access while retaining business correspondence appropriately.

Move from the old Gmail address without losing enquiries

  1. List every place the old address appears: brochures, quotations, invoices, supplier portals, website forms, social profiles, bank contacts, and business cards.
  2. Create the new accounts and agree who covers each role address.
  3. Ask the provider to assess migration of business mail, contacts, and calendars. Keep personal data separate if the old account mixes both.
  4. Test incoming mail, replies, attachments, mobile access, and recovery before announcing the change.
  5. Update important suppliers and active customers directly. Put the new address in your signature and public contact details.
  6. Keep monitoring the old inbox during an agreed transition. Use an acknowledgement or forwarding arrangement only where appropriate and tested.
  7. Review where messages still arrive after 30, 60, and 90 days. Continue monitoring if important business still uses the old address.

A new email address is also a moment to prevent payment confusion. Tell suppliers and customers that an address change does not itself change bank details. Independently verify any bank-account change using an established contact route.

Ask for email authentication in plain language

Tell your email supplier: “Please configure and test SPF, DKIM, and DMARC for the services we use to send mail.” These are domain authentication controls that help receiving systems assess whether messages are authorised.

Include the business mailbox, website forms, and any marketing email service. Google publishes sender requirements, with additional requirements for bulk senders, including authentication and easy unsubscribe for marketing mail. Use the provider’s current instructions rather than copying DNS settings from another agency. See Google’s email sender guidelines.

Ask for a test result and a short handover document. A screenshot showing “mailbox created” is not proof that enquiries arrive or replies reach customers.

What should you ask an email provider to quote?

Ask for a written scope you can compare. The lowest monthly figure may exclude moving existing mail or helping the team use the new setup.

Quote item Question to ask
Domain Who registers it, who controls it, and what does renewal cost?
Named users How many actual staff accounts do we need?
Role addresses Should sales and accounts use an alias, group, shared inbox, or delegated mailbox?
Migration Which old mail, contacts, and calendars can move, and what remains separate?
Storage What happens when a mailbox becomes full?
Security and recovery Who sets up authentication, recovery, and administrator backup?
Testing Will the provider test incoming mail, outgoing mail, forms, and mobile access?
Support Who do we call when an account stops working?
Handover Will we receive the settings, renewal details, and administration instructions?

Choose based on your team’s working needs and the complete cost. An agency with three users should not buy accounts for ten department names simply because those addresses look professional.

Put WhatsApp under the agency’s name too

For most Malaysian agencies, WhatsApp holds more customer conversations than email. If each consultant sells from a personal number, every customer they have served leaves with them when they resign.

Old way Agency-owned setup
Customers save the consultant’s personal number Customers save the agency’s sales number
The SIM is registered to the staff member The SIM is a company line registered to the agency
Chats live only on one person’s phone The number runs on an agency phone, or on a WhatsApp Business service that several staff can use
A resignation means losing the chat history The next consultant continues from the same number

Sutra Travel moved its three sales consultants to one agency sales number and one operations number, both on company lines. Consultants still reply from their own login where the service allows it, but the number and the chat history belong to the agency.

Do not just announce a new number. Tell active customers and suppliers directly, add it to your website, posters, and email signature, and keep the old numbers monitored during the switch, the same way you handle the old Gmail address.

Run a staff-leaving rehearsal

Before calling the setup complete, practise removing a test user’s access to email and WhatsApp. Check that a colleague can continue the open enquiries, supplier threads, and future appointments, and that the removed account no longer works.

Company email does not organise the booking by itself

A supplier confirmation in operations@ is easier to keep under company control. Staff still need to connect it to the correct departure and know what remains unresolved.

Use email and WhatsApp for conversations, and a shared operating record for the booking status, agreed price, customer balance, passengers, and supplier work. WauHub’s WhatsApp lead management moves serious enquiries out of the chat and into a lead the agency owns, and the connected workflow carries that booking through sales, operations, and finance.

Questions about company email for travel agencies

Can we still use the Gmail app?

Yes, a suitable Google Workspace setup supports your own domain through Gmail. The interface can remain familiar while the business gains domain-based addresses and administration. Ask your provider to confirm the edition and setup for your users.

Does buying a domain include business email?

Not automatically. Domain registration gives you the name. Email hosting provides the mailboxes, while a website is another service. A provider may bundle them, so check exactly what the quote includes.

Should we delete the old Gmail account?

Do not close the old route while active customers or suppliers still rely on it. Monitor it during the transition, update important contacts, and review remaining use before deciding how long to retain access.

Can WauHub help if we do not know where to start?

Yes. Once your agency has its own business email, contact us from that address with your registered agency name and MOTAC KPL licence number. We can review your email setup, website needs, and booking workflow together. Your team can still be working with WhatsApp and Excel when you contact us.

Get advice before buying the wrong setup

Tell us how many staff handle email, where supplier correspondence goes, and who controls your current accounts. We can discuss the setup your agency needs and how it fits with your website and booking process.

Email hosting and implementation scope should be confirmed separately from your WauHub subscription. The consultation helps you establish what is needed first.
