A customer submits your website form and sees a thank-you message. Sales never receives the enquiry. From the customer’s side, the agency is ignoring them; from the owner’s side, the website appears to work.
A travel agency needs to test the complete booking workflow because problems usually appear between tools and people. Before Q1 2027, follow one representative booking from package page to enquiry, quotation, payment, passenger preparation, supplier expense, and accounts. Check the handovers and the failure cases as well as the normal path.
This rehearsal works whether you use WauHub, another system, or a combination of email and spreadsheets. Its purpose is to identify what your team must fix before more bookings arrive.
Why is a workflow test worth the owner’s time?
Each department can complete its own task while the overall booking remains stuck. Sales sends the quotation. Accounts records a deposit. Operations waits for a passenger list that nobody knew they had to send.
The owner becomes the connection between those tasks, answering questions that the records should already answer. That limits growth even when the team is working hard.
A rehearsal reveals whether the next person can continue without starting again. It also helps you distinguish a process gap from a software gap before buying another tool.
Start with one representative family booking
Use an anonymised or fictional case with the same complexity as your real work. Sutra Travel, the fictional agency from Part 1, used a family of four on its Chinese New Year Korea tour. The family enquires on WhatsApp, asks for one triple room plus a child, accepts a quotation, pays a deposit, corrects one passport number, and later pays the balance.
Prepare the expected facts in advance: approved package version, passenger count, agreed price, payment schedule, supplier arrangements, and staff responsibility. They are the reference against which you check each stage.
Use test facilities where available. Do not send test documents to customers, submit fictional tax documents to production MyInvois, or move real money merely to complete a rehearsal. Have finance and your provider agree how to test the applicable steps.
Keep two counts while you test
As the booking moves through the agency, count how many times someone types the same passenger details, and how many minutes each handover takes from one person finishing to the next person starting.
When Sutra Travel ran this test, the lead passenger’s name was typed six times: WhatsApp notes, the Excel booking sheet, the Word quotation, the supplier rooming email, the invoice, and MyInvois. The handover from sales to operations took most of a day, because the consultant was out meeting a corporate client. Those two numbers told the owner more than any software brochure.
In a connected workflow, the passenger details are entered once and every later step uses the same record. The handover is a change of owner on the booking, not a message that waits for someone to come back.

1. Can the customer understand the offer on a phone?
Open the package page using an ordinary mobile connection. Check the duration, dates, price basis, room or passenger assumptions, inclusions, exclusions, payment terms, and next action.
Why does this matter? Every missing answer becomes a repeated question for sales. Every incorrect answer can become a promise the team has to repair after the customer pays.
| Test | Pass condition |
|---|---|
| Read the package without opening a PDF | Main buying information is visible and understandable |
| Compare the page with the approved package record | Price basis, dates, and terms agree |
| Open the brochure | It loads, works on mobile, and matches the current offer |
| Tap email, telephone, or WhatsApp contact | The correct agency contact opens |
| Find the next step | The customer can enquire or use checkout where appropriate |
An agency without a full website can start with a useful package page or landing page. The owner needs a maintained sales path, with clear business identity and contact details, before considering extra design features.
WauHub’s travel agency website feature supports published agency and package information, enquiries, and eligible checkout journeys. Confirm the available layout options and plan inclusions during consultation.
2. Does the enquiry reach somebody accountable?
Submit the test request and inspect the actual destination. A form submission email in an unattended mailbox is an unresolved handover, even if the form worked technically.
The assigned person should receive useful context: package, intended date, group size, contact details, and the customer’s question. Check who covers the enquiry during leave or outside the stated response hours.
If your team still uses personal Gmail, complete the company email migration plan alongside this work. Department contact details should remain usable when staff change.
3. Can the quotation become a booking without losing the agreement?
Prepare a quotation from the approved details. Record its validity, relevant terms, room basis, and any agreed changes. Then follow your actual acceptance and booking process.
Operations must be able to find what the customer accepted. Finance must be able to identify what the customer owes. If either person has to ask sales to rebuild the agreement, record the missing field or handover step.
Our earlier quotation-to-booking guide covers common sales mistakes. In this test, the question is whether the final agreement survives the transfer between departments.
4. Does the payment state match the evidence?
Test the approved payment process, including a deposit and a balance. Where your provider offers suitable test facilities, include a failed or interrupted payment and a repeated notification.
The successful outcome is one correctly recorded payment against the correct invoice, with the expected balance remaining. A thank-you screen or screenshot alone should not decide whether money has cleared.
Check who investigates an unmatched bank payment, a duplicate notification, or a payment that settles later. Verify the customer-facing receipt or status as well as the internal record.
WauHub supports invoice and payment records, with FPX, cards, and DuitNow QR according to the methods your agency has enabled. Confirm fees, settlement arrangements, and the exact flow for your setup.
5. Can operations prepare the travellers and suppliers?
Pass the booking to operations without verbally explaining everything. Ask the colleague to find the passenger details, rooming request, supplier confirmation, outstanding documents, and next deadline.
Next, change one agreed detail using the normal process. Check that the people affected can identify the latest version and that old information does not remain in the departure pack.
Use the group departure checklist for the underlying operating routine, rechecking time-sensitive travel requirements against current official sources. This rehearsal tests whether your own records let staff carry it out.
6. Can finance follow the booking into the accounts?
Record the representative supplier bill and the customer’s remaining balance in the agreed test environment. Ask finance to trace the booking reference through the documents and the applicable reports.
If an e-Invoice step applies, test the approved process for required details, submission status, errors, and adjustments with your provider and accountant. Review the Q1 finance preparation article for the wider readiness checks.
A booking should not appear profitable simply because a known supplier cost has not reached finance. Include the handling of pending or estimated costs in the review.
7. Does automation stop when circumstances change?
September’s series explains WhatsApp enquiry-to-booking automation, connected product information, and useful automated replies. Use those guides to build the journey; use these checks before increasing traffic.
| Change or failure | Expected response |
|---|---|
| The approved package price changes | Connected replies use the current approved source or hand over for checking |
| A departure is missing from the catalogue | The tool avoids inventing availability and offers a useful next step |
| The customer replies during a follow-up sequence | The workflow pauses or changes appropriately for human handling |
| A payment is recorded before a reminder | The reminder checks the current balance before sending |
| An enquiry is submitted twice | Staff can recognise and resolve the duplicate without contacting the customer twice unnecessarily |
| An integration fails | A named person receives or checks the failure and can pause the workflow |
These behaviours need configuration and testing in your chosen tools. They are not a claim that every automation is built into WauHub. The external conversation tool and the operating system have separate responsibilities.
Record failures and decide what to fix
Keep one short test log. An owner should be able to read it without opening every screenshot or message.
| Test | Result | Business consequence | Owner and next step |
|---|---|---|---|
| Passenger details typed once | Number of times typed | Typos on tickets, invoices, and rooming lists | Named person and due date |
| Sales to operations handover | Minutes or hours taken | Supplier deadlines missed while files wait | Named person and due date |
| Website form reaches sales | Pass or fail | Lost or delayed enquiry | Named person and due date |
| Agreed quotation reaches operations | Pass or fail | Wrong arrangement or repeated questions | Named person and due date |
| Payment and remaining balance agree | Pass or fail | Incorrect collection or refund decision | Named person and due date |
| Backup staff can continue booking | Pass or fail | Work stops during absence | Named person and due date |
| Failed automation is visible | Pass or fail | Wrong information continues reaching customers | Named person and due date |
Fix issues affecting customer commitments, access, or money first. Cosmetic changes can follow. Retest the failed step and its affected handover before declaring it complete.
If the test shows you need new software
Use the failed cases as your demonstration script. Ask providers to show how those exact cases work, including changes, errors, exports, permissions, and support.
Our software basics and Excel migration guide cover the background. For Q1, the owner’s decision is whether the replacement is tested enough to use with live bookings.
Pilot representative records, reconcile open customer and supplier balances, train users, and agree a cutover and rollback plan. Keep historical records accessible according to your retention arrangements. Avoid indefinite duplicate entry across two live systems.
Questions about testing a travel agency workflow
Do we need new software to run the test?
No. Use the tools and records you have now. The test shows where a clearer responsibility or procedure may solve the problem and where a software change deserves investigation.
Does an automated reply mean an enquiry is captured?
No. A reply, a product lookup, and lead creation are separate steps. Check the actual lead record and its owner after the conversation or form submission.
What proves staff training worked?
A staff member can carry out the task and hand the booking to the next person correctly. Include a backup colleague and an exception case, rather than relying on attendance at a demonstration.
Bring the gaps to a consultation
WauHub connects the core travel agency workflow across leads, quotations, bookings, passengers, invoices, supplier expenses, and accounting. A demonstration is most useful when it follows the work that is difficult for your team today.
You can also come to us before you have a website or booking system. We offer consultation to help registered agencies decide which foundations to establish, what can wait, and where a connected system can help.
