It is 8:25 in the morning. A customer transfers the booking deposit, forwards the Maybank2u slip to your agency’s WhatsApp, and a minute later, before anyone has replied, asks whether your agency is a scam.
A Malaysian travel agency shared this exact chat on Threads recently, and the replies filled up with admins from other agencies saying it happens to them too. We laughed as well. But it happens several times a week, usually before the first coffee, and every one of those customers has just paid you.

Why one minute feels long to the customer
For your admin, replying within a minute is fast. For a customer who has just sent RM2,000, maybe RM8,000, to a company account they found on Instagram or TikTok, that minute is very long.
Their M2U slip shows that the money left their account. It shows nothing about whether it reached you, or whether anyone at your agency has seen it yet.
Most customers have read about fake travel agencies, and those stories come round again every Umrah season and every cuti sekolah. When nobody answers, that is the story they start telling themselves.
Why your admin cannot reply in 60 seconds
Here is what has to happen at your end once a transfer slip lands in WhatsApp:
| Step | What the admin does |
|---|---|
| 1 | Notice the message among dozens of other chats |
| 2 | Open the bank app and wait for the money to show |
| 3 | Find which booking or invoice this payment is for |
| 4 | Record the payment and work out the balance |
| 5 | Type or prepare a receipt and send it back |
Some of these steps should not be rushed. An instant transfer shows up quickly, an interbank transfer can take longer, and nobody should confirm money they cannot see in the account. While all that is going on, the customer is already typing in capital letters.
However quick your admin is, the customer is still waiting for a person to confirm the payment.
Let the payment confirm itself
The fix is to take the admin out of the confirmation step. Every invoice in WauHub has its own unique link, and the flow is short:
- Send the invoice link. Share it on WhatsApp instead of your bank account number.
- The customer pays online. They open the link and pay by FPX online banking, card or DuitNow QR, using whichever methods your agency has turned on.
- WauHub sends the receipt. Once the payment goes through, WauHub records it against the invoice, updates the balance, creates a numbered PDF receipt and emails it to the customer. Your team gets a notification that the money is in.
None of this waits for office hours. A customer who pays at 8:25 gets your agency’s receipt by email within moments, without anyone in the office lifting a finger.
| Bank transfer + WhatsApp slip | WauHub invoice link + automatic receipt | |
|---|---|---|
| Who confirms the payment | Your admin, by checking the bank | The payment itself |
| How long the customer waits | Until someone is free | Moments |
| What the customer gets | A tick on WhatsApp | An official receipt with your agency’s name |
| What your admin does | Check, match, record, reply | Nothing, unless there is a problem |
| Chance of the wrong booking being marked paid | Higher | Lower, the payment is tied to the invoice |
Five ways to reassure customers after they pay
- Use the same registered company name on your bank account, invoices and receipts.
- Print your MOTAC licence number on the invoice. A nervous customer will look for it.
- Send the WauHub invoice link instead of your account number, so the customer gets an official receipt the moment they pay.
- Take the customer’s email at booking. The automatic receipt goes to the email on the customer record.
- Put your office hours in your WhatsApp Business profile and away message, so customers know when to expect a reply.
What this gives your agency back
Each “dah terima ke?” chat costs an admin a few minutes. Across every deposit and instalment in a busy month, that adds up to hours spent reassuring people who have already paid you.
When customers pay through the invoice link, they have proof from your agency the moment they pay, and your admin can start the morning on bookings instead of answering bank-slip messages.
To see the receipt your customer would get, book a WauHub demo and bring one of your real invoices. There is more on invoices and payments in WauHub.
